The duties are, but not limited to:

1. Receive, screen, log all incoming correspondence and provide technical background information to concerned HR staff for action. Inform and remind HR staff of deadlines; and ensure timely submission of unit's contributions.

2. Draft routine correspondence related to HR issues, type documents and reports, some of which are highly confidential, prepare tables, graphs, Power Point presentations and assist in preparing and compiling HR statistics. Initiate Protocol letters to the Ministry of Foreign Affairs for newly recruited professional staff.
3. Prepare and update the Organogram for all budget centers.

4. Finalize all administrative formalities for internships in accordance with WHO policy and procedures, in coordination with budget centers.

5. Update and maintain the list of staff management committees through obtaining Regional Director's and Staff Association's nominations, inform nominees, reflect changes in committee members, etc.

6. Arrange appointments and maintain the HR Officers' calendar. Receive visitors and respond to telephone enquiries with tact and discretion, assessing their urgency, obtaining/providing information and/or referring them to appropriate staff for action.

7. Organize the travels of the HR Officers. This includes raising travel requests in the Global Management System (GSM), requesting itineraries, obtaining visas, arranging hotel bookings, requesting security clearance, etc. Follow up/keep records on the submission of the duty travel reports.

8. Act as GSM Leaves Administrator, this include:
- Monitor the leaves dashboard and follow up with staff to ensure confirmation of leaves in GSM.
- Submits leave requests on behalf of absent staff members. Draw HRO's attention to access leaves
- Responds to staff queries related to leave system, coordinate with the Global Service Center (GSC) to solve any related issues.


REQUIRED QUALIFICATIONS
Education:
Essential: Completion of secondary education supplemented by secretarial training.

Desirable: University degree in business administration, social sciences or related field is an asset.
